New client system

As of April 1, 2025, we will be using a new EHR (electronic patient record) system called SmartFile. As a client of Work With Care, how do you feel about this?

We have been working on it behind the scenes for over a year; the switch to a new EHR system. As of April 1, 2025, we will switch to SmartFile. This switch will involve a number of changes that may also be noticeable to clients of Work With Care. The transfer will take place in the period from Friday, March 28 to Sunday, March 30, with the result that we will not be able to do anything during these days. Therefore, the practice will be closed Saturday, March 29.

What is SPD?

An Electronic Patient Record (EPD) is a digital system in which healthcare professionals store and process patients’ medical data, such as examination results and treatment plans. The file also contains address information and correspondence with the primary care physician and other involved health care providers.

From making appointments to file management and even claims are done through the EHR. Therefore, it is very important that this system fits well with us as a practice and is pleasant and clear for our clients. We found that the old EHR no longer met our needs and that it could also be better for you as a client.

What will change for our clients?

We send mails from a different mail address

When you receive a mail from the SPD system SmartFile, the mail address is work-with-care@smartfile.nl.
You can just reply to this, it will be automatically forwarded to our usual mail info@work-with-care.nl.

View appointments and data online.

You can view your appointments and details online. In your appointment confirmation email you will find a button to your account.

If you are a new client with Work With Care, you will automatically receive an email with your account login information.

Are you an existing client with Work With Care and do not have a login. Then you can create your own password as of April 1, 2025.

  • Click the “Go to SmartFile” button in the mail or go to https://web.smartfile.nl/auth/login
  • Click on “Forgot your password?”
  • Enter the mail address known to Work With Care and click “Send Instructions”
  • You will receive an email from noreply@smartfile.nl. Click on the “Change my password” link.
  • Enter your new password here.

As of now, you can log into your account with SmartFile using these credentials.

It is not possible to cancel or change appointments. For this you must contact Work With Care.
However, it is possible to make a new appointment through your personal account.

Easy payment with iDeal
If the treatment is not covered by insurance, you will receive an invoice by email. You can pay this invoice easily and securely via iDeal. This is done through the payment platform Mollie. Would you rather pay manually? Of course that is also possible. Always include the invoice number so we can process the payment properly and see that you have paid us.

What doesn't change

Safety

Because we process personal and medical data, security is obviously paramount. Our new EPD also complies with the NEN-7510 standard (Dutch standard for information security in healthcare) and is thus AVG (General Data Protection Regulation) proof.

Accessibility

In addition to now being able to view your appointments and details online and make a new appointment, we will of course continue to be available by phone and email as usual.

Fees

We have contracts with all insurers, so when you receive reimbursement for treatments from your insurance company, the invoice is automatically declared to the insurance company.
